Chen Motors operates chen-motors.pilota.me and uses the Pilota platform to run the business end-to-end. This page explains what personal data we collect, why we collect it, and what choices you have.

Who we are

Chen Motors is the data controller for bookings made through chen-motors.pilota.me. You can reach us at 0121 449 8800 or by post at Cardigan Wharf, B1 2AL.

Pilota Ltd provides the platform that powers this site. Pilota is a data processor acting on our instructions.

What we collect

When you browse the site: approximate location (from your IP), pages viewed, and anonymous analytics events.

When you make a booking: name, email, phone, age band, driving licence details, payment-card token (we never see the raw card number — it goes directly to Stripe), and the booking itself.

When you call us: the call is answered by an AI assistant identified as such. If the call is recorded we announce it at the start; recordings are retained for 90 days and used only to improve service.

How we use it

To operate the booking (quote, verification, payment, pickup, return).

To meet legal obligations — licence checks, hire records, road-traffic fines, anti-fraud.

To send you transactional messages about your booking. We do not send marketing messages unless you opt in.

Who we share it with

Payment processing: Stripe. Identity verification: ComplyCube. Telecoms: Vonage / Telnyx. Email: AgentMail. Storage: Cloudflare R2 (EU). All are contracted processors under GDPR.

We do not sell your data. We do not share it for advertising outside of our own retargeting audiences, which exclude anyone who has not already visited this site.

Your UK GDPR rights

You can ask for a copy of the data we hold, correct it, delete it (subject to our legal record-keeping obligations), or object to processing. Email privacy@${operator.domain} and we respond within 30 days.

You can complain to the Information Commissioner (ICO). We would rather you told us first, but your right to escalate is absolute.

Retention

Booking records: 7 years (HMRC / state requirement).

Licence and verification documents: 90 days after the rental ends, then deleted.

Call recordings: 90 days.

Anonymous analytics: 14 months.
